How to Document an AI-Assisted Workflow

Write down where AI fits in a process: which step it helps with, what goes in, who checks what comes out, and what happens when it is wrong.

Workflow Automation

Most SOPs were written before anyone used AI in the process, so the AI step lives in someone's head. When that person is out, the step is either skipped or done differently. Documenting an AI-assisted workflow means adding four lines to the SOP you already have.

Mark the AI step

In the numbered steps, mark exactly which one uses an AI tool and name the tool. "Step 4: draft the client summary with the approved chat assistant (firm account)."

Say what goes in

Write what information may be given to the tool for this step and what must be removed first. "Use the spreadsheet totals only; remove client names and account numbers."

Name the check

Name who reviews the output and what they check before the next step. "The preparer compares every figure in the draft against the source sheet." A review step with no named reviewer will be skipped under deadline pressure.

Plan for a wrong answer

Write what happens when the output is wrong: fix it by hand, note it, and tell the tool owner if it keeps happening. That note is how you find out a tool has stopped being worth using.
